A complete walkthrough to set up and process online fee payments in VidyalayaERP — from configuring payment gateways to generating receipts.
VidyalayaERP makes online fee collection simple and transparent. Follow these steps to enable and process fee payments directly from the dashboard or through the parent mobile app.
Go to Settings → Modules and ensure the Fee Management toggle is switched on. If this is your first time, you will see a setup wizard.
Navigate to Fees → Settings → Payment Gateway. VidyalayaERP supports Razorpay, PayU, and Stripe. Enter your API Key and Secret, then click Save & Test Connection.
Under Fees → Fee Structures, click Add New Structure. Define fee heads (Tuition, Transport, Library, etc.), amounts, and applicable classes.
Go to Students → [Student Name] → Fees to assign the fee structure, or use bulk assignment from Fees → Bulk Assign to apply a plan to an entire class.
From Fees → Pending Dues, select students and click Send Payment Reminder. Parents receive an SMS/email with a secure payment link.
Once payment is received, the status auto-updates. Go to Fees → Transactions to view the record and click Generate Receipt to download or email a PDF.
Pro Tip
Enable auto-reminders in Fees → Settings → Notifications to automatically send overdue fee reminders 3 days and 1 day before the due date.
