Initial School Setup

Before adding students and staff, complete the basic system configuration.

School Profile Setup

Navigate To

Settings → School Settings

Enter:

  • Upload Logo
  • School Name
  • Address
  • Contact Information
  • Website

Ensure all information is accurate as it appears on official reports and documents.

Class & Section Configuration

Before admitting students, create your academic structure.

Navigate To

Academics → Settings → Classes & Sections

Examples:

Classes:

  • Nursery
  • LKG
  • UKG
  • Class 1–12

Sections:

  • A
  • B
  • C

Save the configuration after setup.

Additional System Configuration

Default Field Settings

Navigate to Settings → Default Fields.

Review and update the predefined options used throughout the system, such as:

  • Gender
  • Religion
  • Category
  • Blood Group
  • Department
  • Designation

Review these settings before adding students and staff.

Custom Fields Setup

Navigate to Settings → Custom Fields.

Create additional fields if your school needs to store information beyond the default fields.

Examples:

Student Fields

  • Aadhaar Number
  • Birth Certificate Number
  • Previous School

Staff Fields

  • PAN Number
  • Aadhaar Number
  • Bank Details

Configure custom fields before importing data.

ID Generation

Navigate to Settings → ID Generation.

Configure automatic numbering formats for:

  • Admission Number
  • Staff ID
  • Fee Receipt Number

Example:

  • ADM-2026-0001
  • STF-2026-001
  • RCP-2026-00001

Roles & Permissions

Navigate to Settings → Roles & Permissions.

VidyalayaERP includes default roles such as:

  • Administrator
  • Teacher
  • Accountant
  • Receptionist

You can:

  • Modify existing permissions
  • Create custom roles
  • Restrict access to specific modules

Assign only the permissions required for each role.

Notification Settings

Navigate to Settings → Notification Settings.

Enable notifications through:

  • Mobile App
  • Email
  • SMS
  • WhatsApp

Common events include:

  • Student Admission
  • Fee Receipt
  • Fee Reminder
  • Student Absence
  • Exam Results

You can customize message templates for each event.

Staff Leave Types

Navigate to HR → Leave Management → Leave Types.

Create leave categories such as:

  • Casual Leave
  • Sick Leave
  • Earned Leave

Configure:

  • Annual Leave Limit
  • Carry Forward Rules
  • Approval Workflow

GPS Attendance

Navigate to HR → Attendance Settings → GPS Attendance.

Configure:

  • School location on the map
  • Attendance radius (e.g., 100 meters)
  • Default punch-in time
  • Default punch-out time

Staff must be within the configured radius to mark attendance.

You can also define late arrival, early departure, and half-day rules based on punch-in and punch-out timings.
